When you share your calendar, your events and calendar have the same visibility settings. You can change your visibility settings for certain events.

Important: After you share your calendar with others, you can update the visibility of an event. Learn how to share your calendar.

  1. On your computer, go to Google Calendar.
  2. In your calendar, open an event.
  3. Click Edit event Change your event visibility settings - Computer (2) Change your event visibility settings - Computer (3) Default visibility.
  4. Select a visibility setting:
    • Default visibility
    • Public
    • Private
  5. Click Save.

When you share your calendar with others, they can find different information about your events.

Understand event visibility in Calendar

  • If you don’t share your calendar or make it public, your events:
    • Aren’t shared with others
    • Are only visible to you
  • If you set your calendar to only show events as ”Free” or ”Busy” for everyone, event details can be visible to others to whom you assigned different visibility settings. To limit the visibility of individual events, set the event to “Private”.
  • If you have a work or school account, your administrator controls event sharing settings for your organization, such as default event visibility.
  • When you invite someone to an event, they can control how your event shows on their calendar.
    • If your event is set to “Default visibility” and your invitee has shared their calendar with others, those people can find the event details on the invitee’s calendar.
    • If your event is set to “Default visibility” and you book a meeting room or other resource, people with access to the resource’s calendar can also find the event details.
  • Even if you set your event as private, some details might still be visible to others when you invite guests or book rooms. These details may include:
    • Event start time
    • Event end time
    • Event creator

Important: If your calendar is public, people can find all event details even if you change the visibility settings in the event details.

  • Check your availability, but can’t find the names or details of your events.
  • Find the time zone setting for the calendar.

Default visibility and Private: Events show as ”Busy.”

Public: People you share your calendar with can find all event details.

See all event details

  • Find all event details, except:
    • On events you mark as ”Private”
    • Guest lists of events without "See guest list" permission
  • Subscribe to email alerts for future events or when you create, change, cancel, or respond to an event.

Private: Events show as ”Busy.”

  • Find details for all events.
  • Add events.
  • Edit events.
  • Restore or permanently delete events from the calendar’s trash.
  • Find the time zone setting for the calendar.
  • Find sharing settings.
  • Subscribe to email alerts for future events or when you create, change, cancel, or respond to an event.

People you share your calendar with can find and change any event details. This includes private events.
